Position Overview:
A Dispatch Service Representative (DSR) is a technician facing position that coordinates and optimizes scheduled jobs and sees them through to completion.
The DSR's maximize opportunities by assigning jobs based on urgency, logistics, and technician skills.
DSR's maintain communication with department managers, employees, and company customers, including keeping customers appraised as to company schedule and requested lead -times.
This job is all about making sure the schedule is organized is such a way as to maximize profit and customer service.
The DSR is also responsible for representing Dusty Underwood Plumbing and Septic, Inc in a professional manner and must maintain a positive, productive line of communication between all parties.
The strong multi-tasker we select will coordinate customer calls within a busy office and match with the correct technician to schedule technician appointments for jobs ensuring the most effective and efficient routing and scheduling.
Required Credentials:
Two or more years of experience as a technician dispatcher or equivalent experience.
Computer proficiency, including working knowledge of Microsoft Office products, including Excel and Word.
Excellent organizational skills and the ability to coordinate multiple appointments and to manage multiple projects.
Excellent verbal and written communication skills.
A strong degree of self-motivation to provide exceptional customer service to customers by phone while directing technicians by radio and tracking devices.
Must be able to pass a background check and provide verifiable references.

Preferred Credentials:
Experience in the area of customer service and/or a related dispatching service technicians.

Ability to maintain and complete correct departmental coding and reporting.
General understanding of dispatching software.

Experience gathering customer information and keying it into a computer.
High school diploma or GED equivalent, or a combination of related experience and/or advanced training/education.
Knowledge of the local geographic territory.
Willingness and ability to work evenings and weekends if necessary.
Ability to maintain a professional demeanor and appearance at all times.

Responsibilities:
Maintains the service technician schedules and dispatches technicians as service calls are completed.
Debrief Service Technicians after completion of each appointment.
Schedules technicians return trips with customers to complete jobs after arrival of parts.
Maintains on-call schedule for service technicians and after-hours service procedures.
Enters service calls, schedules calls, and generates call debriefing with technicians daily.
Maintains customer database, ensuring complete, accurate, and updated entry of information Responds to customer inquiries regarding company schedule and requested lead times, equipment service, and service invoicing, and general inquiries.
Responds to technician requests both by online and phone.
Follows up and schedules preventative maintenance service appointments.
Reviews completed service work orders for accuracy.
Prepares invoices and timecards for processing.
Effectively manages conflict resolution with clients through clear communication, addressing all concerns, questions, or problems expediently.
Be knowledgeable of all current promotions and financing options.
Maintain a general knowledge of products and services.
Always maintains a professional image by abiding by ALL standards of performance and code of ethics and maintaining a courteous demeanor with all customers and associates.

This position is responsible for prioritizing and scheduling service calls for the plumbing and/or septic service departments.
The dispatcher is responsible for ensuring the right service expert is sent to the correct call, minimizing travel time and maximizing efficiency.
The dispatcher is responsible for direct communications with the technicians.
The dispatcher will be responsible for working with other departments and technicians to provide logistical support and to coordinate the project from start to finish.
The dispatcher will ensure that sold jobs are scheduled appropriately and that required materials are on hand prior to scheduling.
They will ensure that jobs are completed with the property documentation, photos, etc.
The dispatcher will work directly with the customer care representative, install coordinator, service manager, controller, accounting, warehouse manager, crew lead technicians, and the field supervisor to ensure that each customer is satisfied and provided with the best experience possible.
